The challenge
Grace Chapel ran five services across two campuses. Attendance was recorded on paper by ushers and typed up days later — if at all. Giving was tracked in a spreadsheet that only one person could open, and Mobile Money contributions were reconciled by hand at month end. Pastoral staff had no reliable way to know who had stopped attending.
What we built
We built a platform where ushers record attendance on a phone during the service, and giving is captured against member records with automatic Mobile Money reconciliation. Cell groups, departments and worker rotas share the same member database, so a person is entered once.
The follow-up module generates a weekly list of members absent for three consecutive services and assigns them to the right pastoral team automatically.
The outcome
Attendance now appears in the dashboard before the service ends. Month-end giving reconciliation dropped from three days to under an hour, and the pastoral team contacts absent members within the same week rather than the following month.
